How to Edit an Active Workflow and Manage Existing Contacts

In this video, we will learn how to edit an active workflow and manage existing contacts effectively. This guide will walk you through the steps of modifying a workflow and handling contacts that are already enrolled in it.

Step-by-Step Guide

  1. Edit the Workflow:
    • Locate the activated workflow you wish to edit. In this case, it's a workflow designed to retarget inactive users.
    • Click on the Edit button to begin making changes.
  2. Add a Delay Step:
    • Before sending out the first email, add a delay step. For example, set a delay of one day.
  3. Publish the Edited Workflow:
    • When publishing the edited workflow, you will have two options for contacts already in the workflow:
      • Let the contacts complete the existing workflow.
      • Exit them from the workflow.
    • In this scenario, choose to let them complete the workflow.
    • Click Publish to apply your changes.
  4. View Reports:
    • Navigate to the View Reports section to see the updated workflow with the one-day delay.
    • Note that no new contacts have entered this workflow yet, but a history is enabled for tracking purposes.
  5. Manage Workflow History:
    • The history feature allows you to track changes, as some contacts may still be following the old workflow version without the delay.
    • New contacts added to the workflow will follow the updated version.
  6. Add a Contact to the Workflow:
    • Create a new contact and add it to the active users list.
    • Observe that the new contact is enrolled in the updated workflow version, indicated by an increase in the enrolled count.
  7. Update Workflow:
    • Any further updates to the workflow will apply to the latest version, ensuring new contacts follow the most recent changes.
